Understanding the support

What does a Virtual Assistant actually do?

I take care of the day-to-day tasks that keep your business running but take up more time than they should. 

That might include managing your inbox and diary, keeping on top of client communication, organising documents, chasing invoices, and supporting your day-to-day admin.

Every business is different, so the support is shaped around what you need rather than a fixed list.

What kind of clients do you usually work with?

I work with small business owners who are juggling a lot and need steady, reliable support.

Many are service-based, such as coaches, wellbeing professionals, or consultants, where admin can quickly build up behind the scenes. 

They usually come to me when things are starting to feel stretched and they want support to help them stay organised and on top of things.

I'm not sure what I can delegate. Can you help with that?

Yes, and you do not need to have everything figured out before we start.

A good starting point is anything that feels repetitive, time-consuming, or that pulls you away from doing the work that only you can do.

If you are unsure, we can work through it together. It usually becomes clear quite quickly once we look at how your week is actually spent.

Reassurance and trust

Will I lose control if I hand things over?

No, you stay in control at all times.

Think of me as an extra pair of hands, not someone stepping in to take over.

You decided what gets delegated, how things are handled, and how involved you want to be.

Is my business info kept confidential?

Yes, your business information is always handled confidentially and with care.

Confidentiality is built into how I work and is covered in our agreement. Your business information is handled carefully and professionally at all times. 

I am also registered with the ICO and handle all data in line with UK data protection requirements.

Getting started and working together

What happens when I get in touch?

Once you get in touch, we will start with a conversation to understand where you need support and how you currently work.

From there, I will outline how I can help and what working together could look like in practice.

If you decide to go ahead, I will guide you through a simple onboarding process so everything is clearly set up from the start.

We can usually get started fairly quickly, depending on availability and the level of support you need. 

Once we have agreed what that looks like, I will confirm a clear start date so you know what to expect.

The aim is to get things moving without it feeling rushed or complicated.

How quickly can we get started?

How will we communicate?

We will communicate in a style that fits easily into how you already work.

For most clients this is a mix of email and messaging, with occasional check-ins if needed. Calls can be arranged when required, although most day-to-day communication is handled through email or messaging to keep things efficient.

Time spent on a calls is included within your allocated support hours. 

We will agree what works best at the start so that everything feels straightforward and easy to maintain.

Pricing & flexibility

How do you charge for your services?

I offer flexible pricing through hourly support or monthly retainer packages.

Hourly support is available for one-off or occasional tasks. However, most clients choose a monthly retainer as it provides ongoing support, consistency, and better overall value.

It also allows me to properly embed into your business, rather than just dipping in when things feel urgent.

What happens if I don't use all my hours?

Hours are intended to be used within the month to keep your support consistent.

If there is a quieter period, we can plan ahead and use that time proactively instead of letting it go to waste.

Can we start small?

Yes, absolutely.

Many clients choose to start with a smaller number of hours so they can get used to working together and see what kind of support makes the biggest difference.

From there, we can adjust things over time as your needs become clearer.

Working with a virtual assistant

How is a Virtual Assistant different to an employee?

The key difference is flexibility.

I work with you as a self-employed contractor, not an employee. This means you get support without the ongoing responsibilities that come with hiring staff.

There is no need to think about things like pensions, sick pay, or long-term contracts. You simply have the support you need, when you need it.

Is hiring a Virtual Assistant more cost effective than employing somebody?

In most cases, yes - especially for small businesses.

With a VA, you only pay for the support you need, without the ongoing costs and responsibilities that come with employing staff.  You do not have to pay for:

  • National Insurance contributions

  • Pension contributions

  • Paid holiday and/or sick leave

  • Office space, equipment, or software (in most cases)

When you employ someone in the UK, these additional costs typically add around 20-30% on top of a salary. For many business owners, working with a VA is a way to get reliable support without committing to a full-time hire before they are ready.
